How to test benefit calculations and roll-ups in a software demo

Use independently calculated answers to test measure calculations, corrections and portfolio totals before accepting a benefits software demonstration.

Wovex

Summary

Test benefit calculations with a small dataset whose expected answers can be reproduced independently. Check input definitions, units, periods, weighted averages, corrections and missing-data behaviour. Test portfolio aggregation separately, including shared claims and cumulative values. Ask suppliers to demonstrate the proposed configuration and report, not just a chart. Wovex provides preset approaches and calculation reuse; confirm plan and specialist-method availability. A correct calculation does not by itself establish a valid benefit claim or portfolio total.

Test the numbers behind the benefits dashboard

A benefits software demonstration should establish how a reported value was produced, not merely that a chart can display it. Calculations, aggregation and presentation are different jobs. A correct arithmetic result can still be unsuitable for a portfolio review if it combines incompatible periods, populations or claims.

Use a small test dataset whose expected answers your team can calculate independently. Ask every supplier to explain the inputs, method, assumptions, missing-data treatment and reporting scope. Record unsupported requirements as gaps rather than changing the test to match the demonstration.

This guide covers benefits from projects, programmes and business change. It is a buyer’s acceptance test, not a specification of any vendor’s internal algorithms. It develops the existing portfolio-software evaluation guidance into a reproducible numerical exercise.

Prepare a compact independent test dataset

The following figures are fictional. They demonstrate the method without prescribing a standard formula for every benefit.

Test record

Inputs and independently expected interpretation

Service A

900 handling minutes across 100 completed cases: 9 minutes per case.

Service B

6,000 handling minutes across 300 completed cases: 20 minutes per case.

Combined service

If definitions and scope are compatible, 6,900 minutes across 400 cases: 17.25 minutes per case.

Shared capacity benefit

One observed release of 120 hours, with two initiatives contributing. Two links do not create 240 hours.

Missing observation

No received result for the next period. This is not automatically a measured zero.

The simple mean of 9 and 20 is 14.5 minutes. That is not the case-weighted combined average in this example. The correct method depends on the question and population; do not label every average of averages wrong without checking what it is intended to represent.

Keep financial savings separate from capacity until an agreed financial treatment supports a monetary claim. Keep percentages, hours, service times and money distinguishable unless a defensible conversion or comparison method has been agreed.

Exercise calculations and corrections

Give the supplier the expected answers before the demonstration so the session tests the proposed setup rather than arithmetic under pressure.

  1. Enter the two service records and identify their periods, input units and calculation methods. Reconcile each displayed result with the independent calculation.

  2. Build the combined service view. Ask which records and weights it uses and whether an aggregate is calculated in the application, in a report or elsewhere.

  3. Correct Service A’s handling minutes to 1,000. Its result becomes 10 minutes per case and the compatible combined average becomes 17.5 minutes. Identify which outputs update and any refresh or recalculation action needed.

  4. Leave the next period incomplete. Demonstrate the actual missing-data behaviour and any limitations rather than assuming that a blank, zero or carried-forward result means the same thing.

  5. Inspect the explanation of the correction and the permissions required to change inputs or methods. Record the review action when an earlier report used the old result.

Also ask about a zero denominator, negative values and a changed calculation method if those cases are relevant. Do not invent the expected product behaviour where it has not been established. The supplier should demonstrate or document the handling in the proposed configuration.

Challenge portfolio totals separately

An initiative-level calculation does not prove that the portfolio aggregation is valid. Follow the path from the observed result into each intended summary.

Show the shared 120-hour improvement beside two contributing initiatives. Establish whether a report presents the shared improvement, allocated contributions or both. The chosen treatment should remain understandable when filtering by programme, team or strategic area.

Test a period value beside a cumulative value. Adding year-to-date savings to individual monthly savings can repeat the same improvement. Test two currencies or incompatible units only where relevant, and ask how conversions, dates and exclusions are controlled.

Use the double-counting guide to agree the claim boundaries. This buyer test checks how the software implements the agreed treatment; it does not assume automatic duplicate detection.

Compare documented calculation capabilities fairly

Official sources were checked on 26 October 2026. These descriptions are starting points, not independent product benchmarks or guarantees about every plan.

Wovex provides preset calculation approaches, Calculation Assist and reuse through Calculation Painter. The Calculations capability is available from Benefits Performance Hub and Enterprise; specialist categories can have additional plan or add-on requirements. Customers use supported approaches rather than defining arbitrary new calculation approaches themselves. Demonstrate the required method and resulting report with Wovex; do not assume every possible model is supported.

Amplify’s measurement guidance distinguishes simple series from advanced benefits using multiple measurement series and a configured formula. Its official explanation supports investigating that configuration. Confirm who can maintain it and how the proposed reporting aggregation behaves.

A broader portfolio or BI arrangement may also calculate the required results. Apply the same independent dataset and trace the full data path. A vendor’s absence from this short example set is not evidence that it lacks calculation capability.

For Wovex, keep Quick Progress values distinct from Tracking Data time-series values. A field’s label does not establish automatic transfer into another comparison. Ask which actual stored values the proposed report reads and test that arrangement.

Retain the test evidence for the buying decision

Use an acceptance sheet with expected result, observed result, source inputs, configuration, reporting scope, difference and action owner. Record whether the buyer or supplier ran the calculation and whether the proposed users can maintain it.

Distinguish a method correction from a performance change. If a total changes because a duplicate claim was excluded, the underlying operation has not necessarily improved or deteriorated. The explanation matters as much as the amended number.

Use the data-quality guide for source checks and the pilot guide for the wider evaluation. Select software whose important numbers can be reproduced and explained, including their limits.
